Using Filing Types

Filing types are a way for you to track work orders primarily as they are worked on and after they are closed. Filing Types are different from Message Types. While Message Types are chosen at the creation of a work order to assist in organizing who sees it, Filing Types are used when closing work orders to help classify the work completed. For example, this work order was a request for extra services that we had to charge for. Now that they have paid for the service, I want my finance team to mark that the client paid for the extra service. I’ll assign the Payment Received filing type to this work order so that in a report I’ll see how many extra services have been paid for.
To create your filing types, click the Admin tab. On this page, click Filing Types in the Work Order Configuration section. I need a new Filing Type that I will use to track work orders that could be used for training new employees. Click on New Filing Type to begin. On this screen, you can create your Filing Type as well as details, or sub-categories, for the Filing Type, if desired. In our case, we are creating a Filing Type called Internal Training. Before we finish, we want to add the details of Good Example and Bad Example, making sure to click the Add Filing Type Detail button after each one. Now click Save.
Unlike Message Types, Filing Types do not need to be assigned to people or locations, but they can be assigned to Message Types. You’ll assign a Filing Type to a Message Type only when you want a specific Filing Type to always be associated with a Message Type.
